Prepare to Submit

Current members of the Baruch community are encouraged to self-submit their works. Please contact us if you need assistance.

The Self-Submission Process:

  • Login to CUNY Academic Works or create an account if this your first time submitting content
  • Read and accept the Submission Agreement
  • Fill in the submission form with information about the work (use these step-by-step instructions)
  • Upload your electronic file and associated files, if any

Before you submit:

  • Identify one or more of your scholarly, creative, or pedagogical works to submit to Academic Works. Only submit completed works (whether in manuscript or final formatted form), not works in progress.
  • For each work, make sure you have the following: (1) title, (2) brief, informative abstract, (3) descriptive keywords (max. 10), and (4) an electronic copy of the file or a link to the file online:
  • For each work, be sure you have the right to make it publicly available online.
    • Journal articles: Consult your publishing agreement and/or SHERPA/RoMEO, a site that identifies publishers' default copyright policies. For future publications, consider submitting an author's addendum in order to retain copyright to your work. Try the Scholar's Copyright Addendum Engine.
    • Book contributions: Consult your publishing agreement or inquire with your publisher. Get some helpful hints from the free online guide, Understanding Rights Reversion, released by the Authors Alliance.
    • Other content types: Many content types, such as conference presentations, can be added to the repository without seeking additional permissions. Please contact us if you have any questions about your ability to make your work publicly accessible.

Files to Submit

Academic Works can accept files of any type (PDFs, image files, audio files, etc.) of any size.

  • If the work is an article, chapter, or other textual work, please submit it as a PDF, Rich Text Format (.rtf), or Microsoft Word (.doc or .docx) file. Academic Works will automatically convert .rtf, .doc, and .docx files to PDF and also create cover pages for these works. (It does not convert or create cover pages for other file types).
  • You can submit attachments with works. For example, if you have an image or spreadsheet that accompanies a document, you can submit it in conjunction with that document, as part of the same submission.
  • If the work is a slideshow, data set, or other kind of non-textual work, please submit the file in whatever format makes the most sense for the work (e.g., PowerPoint, Excel, CSV).
  • Academic Works does not stream content or serve up anything but files – i.e., no live websites, web apps, etc.

Batch Submission

For members of the Baruch faculty and staff who have a large collection of materials for which you are the copyright holder (reports, white papers, campus publications, pedagogical materials), you may contact us and we can assist with batch uploading the material.

For members of the Baruch faculty who have a large number of journal articles that you'd like to submit, you may also contact us for assistance in identifying which versions of your work may be included (pre-refereed, post-refereed, or final published version).

Removal

CUNY Academic Works is a permanent institutional archive. Once a work is submitted and approved it may not be removed except by contacting the repository administrator. Circumstances that may merit the temporary or permanent removal of a work include claims regarding copyright, privacy and data protection.
